Duplicates, ABN, NZBN and company look-up

Fill in company details as you type, look up ABNs and NZBNs, and merge duplicates.

Company look-up as you type

When you add an organization, or type a new organization on a contact or opportunity, suggestions appear under Look up the business:

  • Google fills in the business name, address, phone number and website.
  • ABR (the Australian Business Register) fills in the ABN, legal name and GST registration. Shown when your company is in Australia.
  • NZBN (New Zealand's NZBN Register) fills in the NZBN, legal name, GST number, registered address, phone and website. Shown when your company is in New Zealand.

Picking a Google result also looks for a matching ABN, or NZBN for a business in New Zealand. Typing a full ABN or NZBN looks it up whichever country you're in. Your company's country is set in Settings › Company.

ABN and NZBN

Every organization has a Business details card with its country, legal name and GST status:

  • Australia: the ABN. Click Look up ABN to search the register by name or number.
  • New Zealand: the NZBN and GST number. Click Look up NZBN to search by name, trading name or number.

An organization is assumed to be in the same country as your company. If you deal with a business across the Tasman, change its Country on the card and the right fields appear. ABNs, NZBNs and NZ GST numbers are checked as you type them, so typos are caught.

Duplicates

  • A Possible duplicate note appears on a contact or organization that looks like another one: same email, phone, ABN, NZBN or website, or the same name (and, for contacts, the same organization).
  • Contacts › Duplicates and Organizations › Duplicates list every likely pair. Click Not duplicates to stop a pair being suggested.
  • To merge, click Review and merge, or tick two records on a list and choose Merge. Pick which record to keep and which value to keep for each field. Emails and phone numbers from both are kept. Phone numbers match whether they're written locally or with the country code (021 123 4567 and +64 21 123 4567 are the same).

Merging moves everything linked (opportunities, activities, notes, emails, files and history) onto the kept record, then deletes the other. It can't be undone. If either contact had unsubscribed from marketing, the merged contact stays unsubscribed.
