A sequence is a series of emails and tasks that go out on a schedule, for example: an intro email today, a short follow-up three days later, a reminder to call two days after that, and a final email the week after.
Make a sequence
- Open Sequences in the menu and click New sequence. You start with a 4-step example to edit.
- For each step, choose how many days to wait after the previous one.
- Emails: write the subject and message. Leave the subject blank on later emails to reply in the same thread, so the contact sees one conversation.
- Tasks: pick Call, To-do, Personal email or Meeting. The task lands on the rep's activity list and the sequence carries on.
- Under Sending, choose the earliest time of day, your time zone and whether to send on weekdays only. Emails are never sent after 6 pm.
Placeholders such as {{contact.first_name}} work in every step. See the placeholder glossary.
Add contacts
- From a contact or opportunity page: Sequences › Add to sequence. Adding from an opportunity links the two, so the sequence stops when the opportunity is won or lost.
- Several at once: tick contacts on the Contacts list and choose Add to sequence.
- From the sequence itself: Add contacts.
Emails come from the mailbox of whoever added the contact, so connect your Gmail or Outlook first. Contacts without an email address, those who've unsubscribed, and anyone already in a sequence are skipped, and you're told why.
When does it stop?
- The contact replies to anything you've sent. The rep is notified so they can take it from there.
- The linked opportunity is won or lost (you can turn this off).
- The last step is done, or someone presses Stop.
- A placeholder has no value for that contact, for example
{{organization.name}}for someone without an organization. The sequence stops for them with a note, so nobody gets an email with a gap in it.
You can pause and resume anyone. Sequences are part of the Growth and Pro plans.
