Open Products in the menu to see everything you sell. Owners and admins can add and change items; everyone can add them to opportunities.
Three kinds of item
- Physical product: something you ship or hand over, such as hardware or stock. Turn on Track stock to record how many you have. Stock goes down when a sales order is marked fulfilled.
- Service: work or access you provide, such as installation, training, support or a subscription. Set Billing to one-off, monthly, quarterly or yearly, and optionally a typical duration.
- Bundle: a package of products and services sold together, such as "2 scanners + installation + a day of training". Pick the items and quantities, then choose a fixed bundle price or the sum of the items less a discount. If the price of an item changes, bundles priced from their items follow it.
On opportunities
- Use Add from catalogue on an opportunity. The opportunity value becomes the total before tax.
- Recurring items are labelled, and the panel shows the recurring amount (for example $2,058 / month).
- If you add more of a tracked product than you have, a Not enough stock warning appears. Bundles count the stock of the items inside them.
- Quotes and sales orders show what's inside each bundle and which items are billed monthly or yearly.
Good to know
- Removing an item that's already on an opportunity or inside a bundle archives it instead, so history stays intact. Tick Show archived to bring it back.
- Bundles can contain products and services, but not other bundles.
- You can import your catalogue from a spreadsheet (Import › Products & services), including type, billing and stock on hand.
