Quote templates

Design how quotes look, or upload your own Word template.

Owners and admins manage templates in Settings › Quotes. One template is the default; reps can pick another when they click Create quote on an opportunity.

Design a template

Click Design a template and change it while you watch a live preview:

  • Layout: Classic, Modern (a colour band across the top) or Compact (fits long quotes on fewer pages).
  • Colour, font and logo position. The logo comes from Settings › Branding.
  • Wording: the heading (Quote, Proposal, Estimate…), a cover note above the items, a footer for small print such as bank details, and optional terms just for this template.
  • Columns: product code, unit price, discount, tax rate and what's inside bundles. You can also show the rep's contact details and add signature lines for printed copies.

Text boxes can include placeholders such as {{customer.first_name}} or {{quote.valid_until}}. Open Placeholders you can use for the full list.

Upload your own Word template

  1. Click Upload Word template and download the sample to start from, or use your own document.
  2. Type placeholders where the details go, for example {{customer.name}}, {{quote.number}} and {{quote.total}}.
  3. For the line items, make a table with a header row and one more row. Start the first cell of that row with {{#lines}} and end the last cell with {{/lines}}. Inside the row use {{name}}, {{quantity}}, {{unit_price}}, {{discount}}, {{amount}} and {{details}}.
  4. Save it as a Word document (.docx) and upload it. We check it and tell you about any placeholder we don't recognise.
  5. Click Try it to download a copy filled with sample data.

When a rep creates a quote from a Word template, ZyfrHub fills it in and turns it into a PDF:

  • The customer opens the quote link to review and accept it, and can download the PDF (or the Word version).
  • When you email the quote from the opportunity, tick Attach the quote as a PDF and it goes with the email.
  • The PDF is made once, so the customer always gets the same document even if you change the template later.

See every placeholder in the placeholder glossary.

Good to know

  • Quotes keep the look they were created with, even if you change or delete the template later.
  • To change a Word template, edit it in Word and use Replace file.
